Travel terms.
What applies when you book: when the contract becomes binding, when you pay, what a cancellation costs and what you can require of us. Written to be read before you book, not afterwards.
In short
Nothing binds you until you say yes
An enquiry does not bind you. Nor does the quote. The contract comes into being when you accept the quote in writing and we confirm it.
20 per cent now, the rest 75 days before
The deposit is 20 per cent of the price of the trip. The balance must reach us no later than 75 days before departure. If you book later than that, the whole amount is payable at once.
Cancelling costs more the closer you get
From a fixed fee well in advance to the full price of the trip in the last week. The whole scale is set out below, and flight tickets can be locked in earlier than that.
Who you are contracting with
[COMPANY'S REGISTERED NAME], [REGISTRATION NUMBER], [POSTAL ADDRESS], Mauritius, as organiser of the package.
Email hello@meridianfairways.com, telephone +41 76 628 88 69.
These terms apply between you and us. Whoever books for more than themselves is responsible for making sure everyone in the party knows and accepts them, and that the details given for each traveller are correct.
How the contract is formed
You send an enquiry. It costs nothing and commits you to nothing.
We reply with an itemised quote, normally within two working days. The quote shows every item separately: flights, hotel, rounds, transfers, excursions and extras. It is valid for fourteen days.
The contract becomes binding when you accept the quote in writing and we confirm that acceptance. Only then are the places yours. Until then prices and availability can change — airfares and exchange rates move, and a tee time that is not booked can be taken by somebody else.
With the confirmation you receive a booking confirmation setting out everything included, the payment plan and these terms. Read it through and tell us the same week if anything is wrong.
Prices
The price in the quote is per person and includes everything set out under What is included, unless stated otherwise. What is not included is on the same page.
The price is fixed once the deposit is paid. After that we do not raise it, even if airfares or exchange rates move against us.
Before then the price can change if what it is based on changes — the number of travellers, the length of the trip, the room category, which courses are to be played — or if a supplier changes its price. We tell you before we change anything and you choose whether to go on.
All prices include the taxes and charges known to us. Local charges paid on the spot — a checkout fee the hotel takes directly from the guest, for example — are stated separately in the quote.
Payment
Deposit: 20 per cent of the price of the trip, payable when you have accepted the quote.
Balance: the remaining 80 per cent, with us no later than 75 days before departure.
If you book later than 75 days before departure, the whole amount is payable at the time of booking.
Payment is by card, bank transfer or Klarna. We never take card details in a form, by telephone or by e-mail — card payment goes through a secure payment link. If you choose Klarna, Klarna's terms apply between you and Klarna.
A party can split the payment between them. Whoever made the booking remains responsible for the whole amount being paid on time.
If you do not pay on time we are entitled to terminate the contract and charge the cancellation fees that applied on the day payment fell due. We always contact you before doing so.
If you want to change something
Changing a traveller's name: is normally possible up to 30 days before departure, against our administrative fee and whatever the airline and other suppliers charge. Airlines often charge for a name change, and sometimes as much as for a new ticket.
Transferring the whole trip to somebody else: you have the right to do so, provided the person taking over meets the conditions for the trip. Tell us no later than seven days before departure. You and the person taking over are jointly and severally liable for what remains to be paid and for the additional costs.
Changing dates, hotel, courses or numbers: we do what we can. What it costs depends entirely on what the suppliers charge, and we show you the cost before making the change. A change close to departure may in practice be a cancellation and a new booking.
Adding a traveller is possible even after the balance has been paid, subject to space on the flight, at the hotel and in the tee times.
If you cancel
Cancellation must be made in writing to hello@meridianfairways.com. The date we receive the notice determines which fee applies.
| When we receive the cancellation | You pay |
|---|---|
| More than 75 days before departure | 1 500 kr per person |
| 75 to 45 days before | 25 % of the price of the trip |
| 44 to 21 days before | 50 % of the price of the trip |
| 20 to 8 days before | 75 % of the price of the trip |
| 7 days or less, or failure to arrive | 100 % of the price of the trip |
Flight tickets are an exception. Once a ticket has been issued it is often not refundable at all, however long before departure you cancel. We never issue tickets earlier than necessary, and we tell you before we do. If the ticket has been issued, its full cost is added on top of the scale above.
If one of two sharing a room cancels, a single-room supplement may fall due for the one who remains. We show you the amount before carrying out the cancellation.
Amounts you have already paid are set off. If you have paid more than the fee, we refund the difference within fourteen days.
These are costs you can insure against. Cancellation cover normally covers cancelling because of illness — see below.
If we change or cancel
We may need to make minor changes to the trip. A tee time that moves by a few hours, an excursion that changes day, a room of the same standard in a different part of the hotel — these things happen and we tell you as soon as we know.
If the change is material — a different hotel of a lower standard, a significant increase in price, fewer rounds than you bought — you may choose: accept the change, take another trip of equivalent quality if we can offer one, or terminate the contract and have everything you have paid returned.
If we cancel the trip you get the whole amount back within fourteen days. If the cancellation is down to us, you are additionally entitled to reasonable compensation for direct additional costs.
We reserve the right to cancel a trip that requires a minimum number of participants if that number is not reached. In that case we tell you no later than 30 days before departure, and the quote says so if the trip carries such a condition.
Cyclones and other things outside anyone's control
The Mauritian cyclone season runs roughly from November to April. We sell trips during that period and write about it openly under Good to know.
If extraordinary circumstances arise at the destination or in its immediate vicinity that significantly affect the performance of the trip — a cyclone, a natural disaster, a serious outbreak of disease, war — you have the right to terminate the contract before departure and have everything you have paid returned. We charge no cancellation fee in that situation.
You are not, however, entitled to further compensation in that situation, because the cause lies outside the control of both of us.
If such circumstances arise during the trip we help you on the spot, and cover necessary accommodation to a reasonable extent if the journey home is delayed.
A golf course closed because of weather is not an extraordinary circumstance. We move the round if we can, and refund the green fee if we cannot.
Insurance
Travel insurance is compulsory and is not included in the price. We require you to show that you have one before the balance is paid.
The policy must cover medical care abroad, repatriation and cancellation. We recommend that it also covers weather and cyclone-related disruption, and golf equipment.
We sell no insurance and take no commission on any. This is a requirement for your sake, not a product we make money on.
Passports, visas and health
You are responsible for holding a valid passport, any visas needed and the required vaccinations. A passport normally has to be valid for at least six months after the return journey.
We pass on the information we have about entry requirements for Swedish, German, French and British citizens, but the rules change and it is your responsibility to check what applies to your own passport.
The details you give for the booking — the name exactly as it stands in the passport, the passport number, the date of birth — must be correct. An airline will not board anyone whose name does not match the passport, and a correction afterwards costs money or is impossible.
While you are there
The golf courses have their own rules on handicap, dress and pace of play. We tell you what applies before you travel. A course can refuse play if its requirements are not met, and that is not something we can influence or compensate.
You are responsible for your own equipment. Golf bags travel on the airline's terms, and any damage is settled with the airline and your insurer.
If a traveller behaves in a way that seriously disturbs others, or endangers safety, we or the supplier may end that person's participation. No refund is given, and the journey home is arranged and paid for by the traveller.
If something goes wrong
Say so on the spot, straight away. Ring the emergency number you were given with your travel documents. Almost anything can be put right while the trip is running, and almost nothing can be put right afterwards.
If it cannot be resolved there, complain in writing to hello@meridianfairways.com within two months of your return. We reply within one month.
If you are not satisfied with our answer you can turn to the EU online dispute resolution platform, or to the national consumer disputes board where you live. We follow their recommendations.
Our liability
We are responsible for the trip being performed in accordance with the contract, including the parts carried out by somebody else — the hotel, the airline, the golf club, the transport company.
If something falls short you are entitled to have it put right, to a reduction in price or to damages, depending on what has happened and how serious it is.
Our liability for damage is limited in accordance with the international conventions applying to each service, and otherwise to three times the price of the trip, except in the case of personal injury or where we caused the damage intentionally or through gross negligence.
We are not liable for what you buy from somebody else while you are there and which is not part of the trip.
Insolvency protection
As an organiser of packages we are required to provide security for the refund of what you have paid, and for repatriation, if we cannot meet our obligations.
The site is still being built and we are not yet accepting bookings. The security will be in place before the first booking is confirmed, and this section will then name who holds it, what it covers and how to contact that party directly without going through us.
If you receive a quote from us before this section names it, ask us. You should never pay anything to an organiser that cannot show you where your money is secured.
Law and disputes
Mauritian law applies to the contract. If you are a consumer resident in the EU or EEA, that can never mean losing the protection that mandatory consumer rules in your own country give you — those rules take precedence over what is written here wherever they give you more.
A dispute may be heard by a court in your own country if you are a consumer.
Should any term here prove invalid, the rest applies unchanged.
Changes
The terms that applied when you booked are the ones that apply to your trip. If we change the terms for future bookings we update the date below.
